Your Guide to Choosing the Perfect Venue for Your Corporate Event

Your Guide

Planning a corporate event, whether it's a training session, seminar, conference, office holiday party, corporate reception, or networking event, requires attention to detail and strategic thinking. The venue you choose significantly influences the event's success. Here's a guide on what to consider, ensuring that your event is not just held, but is memorable and impactful.

Audio-Visual Capabilities - Everybody wants the WOW affect!

The quality of a venue's audio-visual equipment is paramount. High-quality sound systems, microphones, and video equipment make a huge difference in delivering your message effectively. Look for venues that offer state-of-the-art AV technology to ensure your presentations and speeches are crisp and clear. Professional venues often feature in-house AV systems tailor-made for their spaces, offering superior performance quality and cost-efficiency compared to sourcing equipment from external rental companies.

Fast Internet

With the increasing need for live streaming, online participation, and guest experience, a robust Internet connectivity is a must-have for any corporate event. Check for event venues boasting high-speed Internet, with 5G capabilities, to facilitate seamless digital interactions, from live tweets and streaming content to client access as an amenity..

Prime Location

Location of your venue plays a crucial role. Opt for a corporate event space spot that is easily accessible by foot, ride-share, bike or public transport. A location close to hotels, restaurants, and retail will enhance the convenience and overall event experience for your guests. Whether it is a pre event 1/2 hour or a post event entertainment late into the evening.

Catering Options

Look into food and beverage options. Corporate event venue that offers a range of catering options will ensure that your guests remain energized and engaged throughout the event.

Superior Acoustics

The acoustics of a corporate event space greatly affect the auditory experience of your guests. Venues with sloped ceilings, for example, can offer superior sound distribution, making it easier for everyone in the room to hear speeches and presentations without strain. Flexible Floor Plan

Look for event venues that offer versatile floor plan options. Whether you need a cozy setup for a seminar or a spacious layout for a networking event, having the ability to adjust the floor plan is a must. Look for event spaces with the flexibility to accommodate different event types and sizes, and multiple event functions.

Indoor and Outdoor Venue

Having the option to utilize both indoor and outdoor spaces will add a dynamic element to your event. Outdoor areas are perfect for breaks, networking or cocktail hour, while indoor spaces can be used for the main corporate conference, presentations, and dining. This combination can provide a refreshing and versatile event experience.

Why Size Matters...You should, “source venue ‘larger’ than you need?”

Per Social Tables, “The space will have a maximum capacity that complies with fire codes. That capacity actually can’t be calculated with a single formula. Fire codes vary by municipality and depend on variables, such as the type of establishment (e.g., a bar or a conference room), exit routes, and obstructions (e.g., columns, large furniture and half-walls).

There will be a sign in every venue entrance sharing the maximum capacity and, of course, you won’t exceed this figure. But remember that the fire marshal’s focus is safety, not attendee experience. When choosing an event space, it’s your job to keep guest safety and comfort in mind.

So, if you have a group of 250, don’t cap your search at venues that advertise an event capacity of 250” look at numbers north of that too. If you have estimated that you need “3000” square feet, don’t discount venues of “6,000” square feet or larger which will give your attendees a bit more space”… to move and activate. This is where the magic happens. That chance or planned encounter on the way to cross the room… The walkways and isle ways are so important as they are intentionally placed to manage the conversations that occur in these walk ways. That is part of the return you are looking for. Guests networking and building relationships.. all purposefully intended to occur in the walkways are areas in between.

The Right Venue Matters

When planning your next corporate event, keep these criteria in mind to choose a venue that not only meets but exceeds your expectations. The right venue, equipped with the necessary amenities and services, can elevate your training, seminar, conference, office holiday party, corporate reception, or networking event from good to unforgettable.
